Administrative Assistant to CEO/Receptionist

So, we’re looking for an Executive Assistant to help us navigate our growth. Are you the missing piece we’re looking for? Are you ready to help us do some good?

Responsibilities:

  • Support and assist CEO with office and personal matters including managing his calendar, meetings, travel, expense reports, ordering lunch/catering for CEO meetings and any other responsibilities as needed  
  • Front desk management – greet and assist guests of the agency, answer main phone line and transfer calls as needed, ensure guests’ comfort and needs are addressed  
  • Assist agency principals when needed with booking travel, expense reports and setting up/coordinating client visits to the office
  • Perform office tasks including but not limited to maintaining confidential data/files, ordering supplies, setting up meeting rooms, ordering catering, maintaining an accurate inventory of office supplies, snacks, and beverages as well as conference room tidiness for the agency, etc.
  • Receive incoming communication/mail for the agency, review content, determine importance and direct to appropriate personnel
  • Event support for agency gatherings and nonprofit organizations the CEO and agency are actively involved with
  • Maintain cleanliness standards of the agency common areas (kitchen, conference rooms, lounge areas)
  • Support of awards submission process as needed – gathering data from various departments, shipping out submission elements

Qualifications:

  • Outstanding communication, written, organizational, and problem-solving skills
  • Minimum of 3 years of experience in office administration, preferably agency admin
  • Adaptable to change, strong problem-solving ability, and forward thinking
  • Strong communication and interpersonal skills
  • Must be bilingual (Spanish and English)
  • Extensive detailed calendar management and multitasker
